# What a bookkeeper does for a small business

October 1, 2026

Many owners first think about their books at tax time, when someone asks for numbers that have to be pieced together. Bookkeeping is the work of keeping those numbers current all year, so they are ready whenever you need them.

## Recording what comes in and goes out

Every sale, payment, bill and expense is recorded and put in the right category. That includes money moved between accounts and the small purchases that are easy to lose track of.

## Matching the books to the bank

Each month, the records are checked against your bank and credit card statements. This is called reconciling. It catches missing entries, duplicates and mistakes while they are still easy to fix.

## Keeping track of who owes what

Current books show which customers have not paid yet and which bills are coming due. For a small business, knowing what is owed in each direction can matter as much as knowing the profit.

## Reports you can use

Current books produce simple reports: what you earned, what you spent, and what the business owns and owes. They help with decisions through the year, and with a loan application if you ever need one.

## How it connects to your tax return

Bookkeeping and tax preparation are separate jobs, and each depends on the other. When the books are kept through the year, the business return starts from records that are already complete and checked, rather than from a box of receipts.

## Doing it yourself, or handing it off

Some owners keep their own books and want someone to look them over. Others would rather hand the whole job to someone else. Either way, the books are current and ready when the return is prepared.
